An AI receptionist that keeps the front desk free for patients

Front desks juggle check-ins, insurance questions and a ringing phone. A RingIris voice agent can take routine calls (hours, directions, new-patient requests, scheduling) and pass anything clinical or sensitive to your staff, with every call logged and attributed to its source.

What gets in the way

Phones ring during check-in

Staff can't answer the phone and help the patient in front of them at the same time.

After-hours requests

New patients call in the evening and on weekends, when nobody is there to schedule them.

Unclear marketing return

Calls from search, directories and referral sources look the same in the phone bill.

What the voice agent handles

Configured with you during onboarding, using your own knowledge, questions and handoff rules.

  • Answers hours, location, parking and accepted-insurance questions from your knowledge base
  • Collects new-patient details and preferred appointment times
  • Books appointments where your scheduling system is connected
  • Hands clinical, urgent or sensitive calls to staff
  • Takes messages and alerts the right team member
  • Records and summarizes calls, with redaction options for sensitive details

Supporting features

And you see which marketing made the phone ring

The voice agent answers tracked numbers, so every call carries its source: the ad, search, listing or campaign that produced it. Qualified calls and bookings can be sent to Google Ads, GA4 and your CRM, and AI tags show which calls turned into real business.

Call tracking and attribution
  • Tracking numbers per channel and campaign
  • Website number swapping by visitor source
  • Recording, transcript and summary on every call
  • Conversions sent to ad platforms and CRMs

Illustrative example

What a setup might look like

A hypothetical configuration to show how the parts fit together. It is not a customer story.

  • Voice agent answers after hours and when the front desk doesn't pick up
  • Routine questions are answered from the practice's own FAQ
  • New-patient callers give name, contact details, reason for visit category and preferred times
  • Clinical questions are not answered by the agent; the caller is offered a message or transfer
  • Staff see the summary next morning and confirm appointments

Common questions

Is RingIris HIPAA compliant?

Compliance depends on how the account is configured and used. We can discuss business associate agreements, recording, transcription and redaction settings for your situation. See our security page and talk to your compliance advisor.

Will the AI give medical advice?

No. The agent is instructed to handle scheduling and routine questions only and to pass clinical questions to your staff. It is not a substitute for licensed professional judgment, and callers with emergencies are directed to 911.
